In the world of volunteers, the convenors are often referred to as the “super volunteer”, as they interact, plan and oversee the volunteer coaches, managers, field marshals and many others.
The Oakville Soccer Club can attribute the majority of their accomplishments based strongly on the time and co-operation from our determined convenors. Being a convenor may seem like a daunting task, but it will turn out to be an enriching and rewarding experience for anyone involved. Convenors are responsible for a certain age group and help to confirm coaches and finalize teams, all the while keeping communication between the parents, players and employees of the OSC. With other duties and responsibilities such as taking part in the pre-season Coaches’ Kick-Off, entering all player evaluations for your designated age group, and attending award presentations or season ending events, you will be part of the fabric that holds the OSC together.
Annual meetings and get-togethers are arranged to keep all convenors up to date on any events that unfold within the Oakville soccer community. Other lectures, such as the convenor meetings are mandatory events which are held to help ensure that each convenor is well aware of what is expected of them and to make sure there is no confusion among any of the volunteers.
On the agenda this year were timelines for the outdoor season, calendar of events, defined convenor description and information on the launch of the new OSC initiatives. New convenors that come on board are trained one on one with the Club’s PTS system which is a registration system designed to help convenors perform tasks such as reports and assigning or moving players, all with the click of their mouse.
“The willingness and sheer numbers of the conveners this year was great to see,” said Joy Neefs, the manager of marketing operations and planning at OSC. “They are all fully committed, ready to help, and their positive feedback speaks volumes.”
Ideas such as the one mentioned by Dianne are being mixed into the existing convenor routine to help provide an easier and more enjoyable experience for both new and old convenors. This wont be hard though, as the OSC is constantly thinking of new and exciting ways to promote the convenors interaction with other volunteers with draws, prizes and other events. They all seem to be working just fine, as this year was one of the best turnouts the OSC has ever seen.
